Privacy policy

This policy explains what information Bukuzi collects, why, and what you can do about it. Bukuzi is a bookkeeping service provided by Carriage LLC, Oakland Park, Florida, USA (“we”, “us”). If you have any question about your data, email mart@bukuzi.com.
What we collect
- Account details: your name, business name, WhatsApp number, email address and country.
- What you send to Bukuzi: messages, voice notes, receipt and invoice photos, and documents you send to the Bukuzi WhatsApp number, plus the bookkeeping records created from them (sales, expenses, amounts, VAT, customers and suppliers you name).
- Payment details: handled by our payment provider. We do not store full card numbers.
- Website enquiries: what you enter in the contact form on bukuzi.com.
- Technical data: basic logs (dates, times, IP address) needed to run and secure the service.
Bukuzi only receives messages sent to the Bukuzi number. We never see your other WhatsApp chats.
How we use it
- To keep your books: reading receipts and messages, recording entries, preparing summaries, invoices, reminders and VAT figures.
- To share your records with an accountant or bookkeeper, but only one you have invited.
- To bill you, provide support and tell you about important changes to the service.
- To keep the service secure and to improve it.
We do not sell your data and we do not use it for advertising.
Who processes it for us
We use trusted providers to run Bukuzi, under contracts that limit how they may use your data:
- Meta (WhatsApp Business Platform) to send and receive WhatsApp messages.
- Anthropic, an AI provider, to read receipts and understand messages. Your data is not used to train their models.
- Cloud hosting and email providers to store data and send emails.
- A card payment provider to take payments.
Your data may be stored and processed outside your country, including in the United States and the European Union. We take reasonable steps to protect it wherever it is processed.
How long we keep it
We keep your records while your account is open, so your books stay complete. If you close your account, you can first download all your records; we then delete them within 90 days, except where the law requires us to keep certain information (for example, our own billing records) for longer.
Your rights
You can ask to see, correct, download or delete your personal information, or object to how we use it, by emailing mart@bukuzi.com. If you are in Zimbabwe, you also have rights under the Cyber and Data Protection Act and may complain to the Postal and Telecommunications Regulatory Authority of Zimbabwe (POTRAZ). Residents of other countries have similar rights under their local laws.
Security
Data is encrypted in transit and access is limited to what is needed to run the service. No system is perfectly secure, so please keep your phone and WhatsApp protected with a lock and PIN.
Changes
If we change this policy in an important way, we will tell you on WhatsApp or by email before the change applies.
